Registration Guidelines


Online registration and booking is closed.




All participants are kindly recommended to register via the Online Registration Form. Please read the instructions on the website carefully.
To benefit from the reduced early registration fee, please process your registration before 8 March 2010.
Upon submitting the Registration Form, you will receive a PRN (Participant Registration Number) by e-mail to be included in payment details.
Please do not send any payments without PRN included in payment details. Such payments cannot be identified.
All participants are kindly requested to register in advance by completing and submitting the Registration Form with the appropriate fees.

All fees are including VAT.
* Letter of confirmation signed by Head of Department is to be faxed/emailed to Meeting Secretariat for Student fee application.

If your payment is not received before the early deadline date 8 March, the latter fee will be automatically charged.

Insurance

The registration fees do not include insurance of participants against accidents, sickness, cancellation, theft, property damage or loss. Participants are advised to take out adequate personal insurance.

Confirmation

Upon receipt of the correct registration fee (clear of bank charges), each participant will receive a confirmation of registration. Please bring this confirmation to the Registration desk at the venue as proof of your registration. Confirmation will be sent upon receipt of payment. Please note that registration for the various tours and events will be confirmed upon payment on a “first come, first served” basis and numbers may be restricted.

All fees for the Meeting registration should be paid in EUR (€), free of all bank charges

With reference to the worldwide general terms please note your credit card will be charged in currency valid in country of the event, i.e. Czech Crowns (CZK) and hereinafter converted back to the currency of your account which may result in slightly higher total charge than stated in EUR.

After 20 April 2010 you are kindly requested to make all payments by credit card exclusively or to register on-site. Payment by bank transfer will no longer be available by then.

Cancellation / Refund Policy

All cancellations must be notified in writing (by mail, fax or e-mail) to the Meeting Secretariat according to the following conditions.

Please note cancellations received:
Until 14 March 2010 - € 100 will be withheld for administrative fees
From 15 March 2010 till 14 April 2010 - reimbursement of 50% of the fees paid
As of 15 April 2010 - no refund can be processed
Registrants may transfer their registration to a colleague at any time. For any change of name a fee of € 30 will be charged. All registrations received at the Meeting Secretariat - CZECH-IN, by 15 April 2010 will be included in the list of participants.

Responsibility

The participant acknowledges that he/she has no right to lodge damage claims against the organisers should the holding of the Meeting be hindered or prevented by unexpected political or economic events or generally by force majeure, or should the non-appearance of speakers or other reasons necessitate programme changes. With registration, the participant accepts this proviso.

Booking Guidelines

Reservation guidelines

Rooms at special Meeting rates are being held in hotels of different categories close to the venue (Institute of Molecular Genetics of Academy of Sciences of the Czech Republic). Rooms will be allocated on a first come, first served basis.

Participants are recommended to reserve the accommodation by 1 March 2010. After this deadline requests will be accepted; however, hotel rooms are subject to availability and cannot be guaranteed. When making the reservation please also indicate an alternative hotel/second choice hotel in case the preferred one is fully booked.

Shuttle service will be provided by the Meeting Organisers from the hotels Panorama and Ilf to the Meeting venue (Residence Emmy is located within walking distance).

To make a reservation please use our Online Booking system. Reservations by phone cannot be processed. A minimum deposit of 1 night is requested to confirm your booking.

Cancellation/change of reservation

Cancellations/changes must be made in writing (e-mail or fax) to Meeting Secretariat CZECH-IN. Cancellations/changes made by phone cannot be accepted. Please do not contact the hotels directly as reservations are held by CZECH-IN. In case of later arrival other than the reserved dates please inform Meeting Secretariat CZECH-IN in order to guarantee the room.

Cancellation will be charged according to the Cancellation conditions below:
For hotel reservations cancelled
Until 1 March 2010 the full deposit will be refunded less € 40
From 2 March 2010 till 31 March 2010 the deposit of 1 night will NOT be refunded
After 1 April 2010 all nights as reserved will be charged and no refund will be made (CZECH-IN holds the right to charge your credit card for the rest of the nights OR not to refund the full pre-payment).

In case of no-show or later arrival or earlier departure other than reserved dates, all nights as reserved will be charged. Reimbursement will be processed after the Meeting.

Payment conditions

1st night deposit will be required to guarantee the booking (non-refundable after 2 March 2010). All bookings must be guaranteed by a valid credit card (VISA, EC/MC cards are accepted). The expiration date of the card must not be any earlier than August 2010. CZECH-IN holds the right to pass your credit card details to the respective hotel. The final bill (rest of nights and extras) must be settled directly with the hotel upon departure.
OR
Full pre-payment can be made by a credit card or a bank transfer to the account of CZECH-IN (1 night is not refundable after 2 March 2010 and the full pre-payment will be charged in case of cancellation after 1 April 2010).

Bank transfers will be accepted until 14 April 2010 only. Please do not complete the bank transfer before availability of requested room is confirmed by the Meeting Secretariat. Please include PRN (personal registration number) as variable symbol to identify your payment. Please, forward a copy of the transfer stating the participant’s name. A full payment free of any bank charges must be received by CZECH-IN. All extras must be settled directly with the hotel upon departure.

Credit Card Payment

With reference to the worldwide general terms please note your credit card will be charged in currency valid in country of the origin, i.e. in Czech Crowns (CZK) and hereinafter converted back to the currency of your account which may result in slightly different (higher) total charge than stated in EUR.

Confirmation of reservation, voucher and final bill

After completing the hotel booking, the participant will receive a system notification that the reservation request was received. Confirmation of the hotel booking (a hotel voucher) will be issued only after the deposit/pre-payment is received and will be sent to the participant by e-mail together with an invoice. The hotel voucher should be presented to the hotel reception during check-in. A final invoice will be issued by Meeting Secretariat CZECH-IN (for 1 night’s deposit or full pre-payment) and the respective hotel (for the rest of the nights and extras). Local hotels will issue the bill in local currency (Czech Crowns) according to the daily exchange rate stated by the Czech National Bank.
