Guidelines and Fees

Registration Guidelines

All participants are kindly recommended to register via the Online Registration Form. Please read the instructions on the website carefully.
To benefit from the reduced early registration fee, please process your registration before July 31, 2010.
Upon submitting the Registration Form, you will receive a PRN (Participant Registration Number) by e-mail to be included in payment details.
Please do not send any payments without PRN included in payment details. Such payments cannot be identified.
All participants are kindly requested to register in advance by completing and submitting the Registration Form with the appropriate fees.

Registration Fees

Please note unpaid pre-registration will not be considered as a valid registration unless fully paid and confirmed. Pre-registration summary therefore can not be taken as a valid registration confirmation. Please make sure to pay your registration fee within the time frame for early or late registration.

* Employee of EES institutional member - maximal 5 employees/per insitutional member can profit from the discount

EC employees are authorized to ask for VAT exemption and therefore pay a registration fee free of VAT. (VAT exemption form downloadable here)

We are expecting to be able to offer bursary support to pay registration/ travel expenses for a limited no. of participants from developing countries. However preference will be given to those who are making some form of presentation. We are currently working on raising sufficient funding for the bursaries thus we would announce bursary opportunities later on together with the bursaries application criteria.

Offer for Students

If you are a master or a PhD student in evaluation, you can apply for a conference fee waiver. Please note, we have limited conference fee waivers for students.

There are two possibilities

1. If you have already submitted an abstract and this has been accepted, and you are a full time PhD or master student in evaluation, you might apply for a conference fee waiver. The criteria for selection will be:

  • Being a full time student in a master program in evaluation or pursuing a PhD on evaluation
  • Quality of the sent proposal
  • Geographical balance

Please provide documentation of your student status stamped and signed by the authority. If you are not a full time student, please send a letter explaining your situation and the reasons why you might need some economical support

2. If you are a PhD or master student in evaluation and you want to come to Prague, you might apply for one of the conference fee waivers in exchange of some volunteer work during the conference. The criteria for selection will

  • Being a full time student in a master program in evaluation or pursuing a PhD on evaluation. Other studies or programs might be also contemplated as far as they have some focus on evaluation.
  • English skills
  • Geographical balance

Please provide us with short note on what do you think you could do as a volunteer at the conference.

Application deadline: August 27th. The result will be communicated by Sept 10th. In case you are not selected, you will be given the opportunity of registering to the conference at the early registration fee. Applications to be sent to


The registration fees do not include insurance of participants against accidents, sickness, cancellation, theft, property damage or loss. Participants are advised to take out adequate personal insurance.

Registration fee include:

  • Admission to scientific sessions, exhibition and poster area
  • Conference bag, Final Programme, Abstract Book
  • Coffee breaks
  • Admission to Get together
  • Lunches

 All Participants need to re-confirm attendance of all functions in their Registration Form.


Upon receipt of the correct registration fee (clear of bank charges), each participant will receive a confirmation of registration. Please bring this confirmation to the Registration desk at the Clarion Congress hotel as proof of your registration. Confirmation will be sent upon receipt of payment. Please note that registration for the various tours and events will be confirmed upon payment on a “first come, first served” basis and numbers may be restricted.


All fees for the Conference registration should be paid in EUR (€), free of all bank charges

- either by credit card (Visa, Eurocard/Mastercard)

With reference to the worldwide general terms please note your credit card will be charged in currency valid in country of the event, i.e. Czech Crowns (CZK) and hereinafter converted back to the currency of your account which may result in slightly higher total charge than stated in EUR.

Please include PRN (personal registration number) as variable symbol to identify your payment. Please, forward a copy of the transfer stating the participant’s name. A full payment free of any bank charges must be received by CZECH-IN.
After September 15, 2010 you are kindly requested to make all payments by credit card exclusively or to register on-site. Payment by bank transfer will no longer be available by then.

Cancellation / Refund Policy

All cancellations must be notified in writing (by mail, fax or e-mail) to the Conference Secretariat according to the following conditions.
Please note cancellations received:

Until July 31, 2010 - € 40 will be withheld for administrative fees
From August 1, 2010 till August 31, 2010
- reimbursement of 50% of the fees paid
As of 1 September 2010 - no refund can be processed

Registrants may transfer their registration to a colleague at any time. For any change of name a fee of € 30 will be charged. All registrations received at the Conference Secretariat - CZECH-IN, by September 31, 2010 will be included in the list of participants.


The participant acknowledges that he/she has no right to lodge damage claims against the organisers should the holding of the Conference be hindered or prevented by unexpected political or economic events or generally by force majeure, or should the non-appearance of speakers or other reasons necessitate programme changes. With registration, the participant accepts this proviso.
